Donated Equipment Procedure and Specifications

Procedure for Accepting Donated Computer Equipment

The premise for this procedure is from BP 3290(a), which states in part:

To be acceptable, a gift must satisfy the following criteria:

  • Be manageable within existing staff resources;
  • Be self-sustaining or not entail undesirable or hidden costs, nor negatively impact the district's fiscal integrity;
  • Have a purpose consistent with those of the district;
  • Meet regular district criteria

PROCESS

  • Review minimum hardware specifications
  • Complete Receipt for Donation form (obtained from Office Managers or X164)
  • Send completed form to Kathy Shirley in Technology and Media Services
  • If the equipment meets the accepted criteria, the form will be forwarded to Business Services for inclusion on the next Board Consent Agenda. We will notify you either way.
  • Board action/approval
  • School site is notified of approval; equipment may be processed.

NOTE: Software requirements are the same for donated equipment as they are for purchased equipment. Sites will be responsible for purchasing the following licenses for each machine accepted as a donation:

PC software licenses required: Windows 2000, Microsoft Office 2000 Pro, Norton Antivirus
Macintosh software licenses required: Microsoft Office for Mac OSX
